Follow-up email sequences
How automated follow-up sequences work in the Algominds dashboard, when they fire, and how to set them up.

Note: Follow-up sequences are usually configured by your Algominds team during onboarding. This article explains how they work so you know what your prospects see and when. If you'd like a new sequence added or an existing one tweaked, hit the Ask Algominds button.

How follow-up sequences work
A follow-up sequence automatically sends one or more emails when a specific condition is met — usually when a label is applied to a conversation.
Ideal for
- Sales follow-ups after a positive reply
- Demo invites and reminders
- Cold or warm outreach follow-ups
The basic flow
A trigger (like a label being applied) starts the sequence automatically. Each follow-up email only sends if the prospect hasn't replied yet — so the sequence stops itself the moment they engage.
How to build a sequence

Click the Create sequence icon in the top-right of the workspace.

Give the sequence a name (e.g. Lead follow-ups).

Configure the sending schedule:
- Time zone
- Sending window (start and end time)
- Sending days (e.g. Tuesday + Thursday only)
Match the time zone to your prospects' location for better reply rates — sending during their working hours significantly improves open and response rates.

Set a trigger:
- Open Trigger from the left menu
- Pick the label that should start the sequence (e.g. Interested, Information request, Meeting request)
- Pick the source (e.g. Google, Outlook, custom)
When the chosen label is applied to any conversation, the sequence starts automatically. No manual action needed.
Add the first follow-up email
- Enter the subject.
- Write the message.
- Insert variables (e.g. first name) for personalisation.
- Add your signature.
- Click Save.
Add more follow-ups
You can stack as many follow-ups as you like:
- Click Add another email
- Set a new subject and message
- Choose how many days to wait before this email sends
- Personalise with variables (name, company, role, etc.)
- Save
Each follow-up only sends if the prospect hasn't replied yet. The sequence stops the moment a reply comes in, unless you change that in Settings.
Settings
Worth checking before you go live:
- Max sending volume (e.g. 100 emails per day)
- Click tracking on or off
- Whether to keep sending even if there's no reply (default: no)
Preview and activate
- Open Preview from the left menu.
- Read the sequence end-to-end.
- Click Run sequence in the top right.
Once live, the sequence sends automatically based on the trigger, schedule, and rules. No manual follow-ups required.
