Email signatures
How email signatures work in the Algominds dashboard and how they get applied to your replies.
Note: Email signatures are typically set up by your Algominds team during onboarding so every reply ends consistently. If you want to add a new signature or update an existing one, message us via the Ask Algominds button.
What you'll learn
What signatures do, how they're created and named, how they get assigned to a channel, and how to apply them when you reply.
Why signatures matter
Signatures are your identity layer. They don't change the message — they reinforce who you are, who you represent, and how to reach you.
- Professionalism — every email ends consistently, regardless of who sent it.
- Brand consistency — name, role, and contact details are always correct, no manual sign-offs.
- Flexibility — multiple signatures for different contexts (sales, partnerships, support).
How to create a signature
- Click the Settings icon at the bottom-left of the screen — this is where all workspace configurations live.
- From the left menu, select Channels. Email-related settings live here, including signatures.
- Click Add signature in the top-right of the Channels page. This opens the signature creation modal.
- Enter a signature name — something descriptive so you can pick the right one later.
- Pick the email channel you want this signature attached to. If you have multiple email accounts connected, double-check you've selected the right one.
- In the signature editor, type the signature text.
- Click Create to save.
Keep signatures short and professional. A name, role, company, and one contact detail is usually enough. Long disclaimers and link stacks just add noise.
How to use a signature in a reply
- Open the conversation
- In the reply editor, pick the signature you want to use
- The signature is applied to your reply
Your signature is saved and available across all replies from the assigned channel. You can create multiple signatures and switch between them on the fly.
